Online Fee Collection for Schools: How It Works in India

By the eVidya Digital team ·

Online fee collection lets parents pay school fees from their phone by UPI, net banking or card, while the school gets instant receipts and a clear dues report. This guide explains how it works, what a school needs to set up, and what to check before you choose a system.

Why schools move fee collection online

At many schools, fee day means queues at the counter, handwritten receipts and an accountant who spends the next week matching cash and cheques to student names. Parents lose a morning. The office loses time. Dues are known only after the register is updated.

Online fee collection removes most of that work. A parent pays from the app or a link. The payment is matched to the right student and fee head automatically, and a receipt is generated at once.

How online fee payment works

The school sets up its fee structure in the ERP. The parent sees the dues for each child and chooses a payment method. The payment goes through a payment gateway, and the ERP records it against the student.

eVidya integrates with popular Indian payment gateways: Razorpay, PayU and CCAvenue. Parents can pay by UPI, net banking, and debit or credit cards. Reconciliation and receipt generation are automatic.

  • School defines fee heads, instalments, late fines and discounts
  • Parent opens the app and sees dues for each child
  • Parent pays by UPI, net banking or card through the gateway
  • ERP marks the fee as paid and issues a digital receipt
  • Accountant sees collections and pending dues in real time

Set up your fee structure first

Indian schools rarely have one flat fee. Tuition, admission, transport, activity and exam fees are often separate heads. Some families have sibling discounts or concessions. Some classes pay in instalments.

The Fees Management module handles multi-head fee structures, automatic late fine calculation and sibling discounts. Write these rules down before setup. The cleaner your fee chart, the faster you go live.

Keep parents informed

Payment rates improve when parents know what they owe and when. With the parent app, families see fee dues on their phone. The school can also share notices through the Announcement module.

Fee payment is only one part of the app. Parents also see attendance, homework and results, so they have a reason to open it every week.

What to check before you choose a system

Not every fee module is equal. Ask for a live demo and test these points with your own fee heads.

  • Does it support your fee heads, instalments, late fines and concessions?
  • Which payment gateways does it work with, and what are the gateway charges?
  • Are receipts generated instantly?
  • Does it reconcile payments automatically?
  • Can the accountant see dues clearly?
  • Is there a mobile app for parents on both Android and iOS?

A simple rollout plan

Start with one term or one month. Import your student list and fee structure, test a few payments with staff, then tell parents about online payment with a short note and a screenshot of the app.

Keep the counter open during the first cycle. Most parents switch once they see the receipt arrive immediately. Basic eVidya setup takes 24-48 hours, and larger schools usually take one to two weeks.

Common mistakes to avoid

Do not launch online payment without testing. Pay a small amount yourself and check that the receipt, the dues report and the student record all agree. Do not change the fee structure and the system in the same month, because you will not know which one caused a problem.

Do not forget the front office. If the person at the counter cannot see an online payment immediately, parents will be told they still owe money. Show your staff the dues screen before you announce the change to parents.
