School ERP vs Spreadsheets: Which Is Right for Your School?

By the eVidya Digital team ·

Spreadsheets are cheap and familiar, so many schools start with them. They stop working when fees, attendance, exams and parent communication all depend on each other. This guide compares a school ERP with Excel and registers so you can decide when to switch.

Where spreadsheets work well

For a very small school, Excel can be enough. It costs nothing extra, everyone knows it and you control the layout. If you have a few dozen students and one person managing records, it may work for now.

Problems start when more people need the same data at the same time.

Where spreadsheets break down

Each sheet is separate. A new admission has to be typed into the admission register, the fee sheet, the attendance sheet and the marks sheet. Every re-entry is a chance for a mistake.

Versions multiply. Two people edit two copies and nobody knows which is correct. Files sit on one computer, so a failed disk or a lost laptop can mean lost records.

  • Same data typed again in many files
  • No clear record of who changed what
  • Hard to share safely with teachers and parents
  • Late fines and discounts calculated by hand
  • Report cards built from many sheets at term end

Side-by-side comparison

Here is how the two approaches compare on the jobs a school does every week.

  • Fees: spreadsheets need manual dues and fine calculation. An ERP handles multi-head fees, late fines, sibling discounts and online payment by UPI, net banking and cards.
  • Attendance: registers are filled by hand and parents hear late. An ERP supports manual, biometric or RFID attendance with SMS or app alerts to parents.
  • Report cards: spreadsheets need formulas for each board. An ERP calculates grades with board-specific weightage and prints customisable report cards.
  • Payroll: spreadsheets need manual PF and ESI. An ERP processes salaries with PF, ESI and tax deductions.
  • Parent communication: phone calls and paper notes, versus notices and results in a mobile app.
  • Data access: one computer versus secure cloud access with role-based permissions.

Data safety

A spreadsheet on a shared drive has no real access control. Anyone who opens the file sees everything. A school ERP gives each person a role, so the teacher sees their class, the accountant sees fees and the principal sees all.

eVidya stores data in secure Indian data centres, uses 256-bit SSL encryption and keeps regular backups. The system runs in a web browser, so you do not need servers at school.

What about cost?

Spreadsheets look free, but staff hours are a cost too. Count the hours your office spends on re-typing, fee reconciliation and report card preparation each term.

eVidya has a free Starter plan for up to 100 students, so a small school can try an ERP without a big budget decision. Current plans are on the Pricing page.

Signs it is time to switch

If two or more of these are true for your school, an ERP will probably save you time.

  • Fee reconciliation takes days each month
  • Parents often call to ask about attendance, dues or results
  • Report cards take weeks to prepare
  • More than one person edits the same files
  • You have more than one branch, or plan to add one

Questions to ask during a demo

Whichever way you lean, test it with your own files. Ask the vendor to import a sample of your student list and show a fee payment, an attendance entry and a report card for one class. Then ask who will do the full import, how long it will take, and what training your staff will get.

If a vendor cannot show these on your data, keep comparing.

How to switch without disruption

You do not need to start from zero. Our team imports your existing Excel files and helps with data mapping and validation. Basic setup takes 24-48 hours. Read our step-by-step guide to moving from Excel to an ERP, or book a demo and we will show your own data in the system.
